Contact Types
Each Contact is allocated a Type. This describes what kind of Contact that person is, for example User, Vendor, Applicant etc.
Acquaint comes with a number of default Contact Types. New Types can be created at any time and there is no limit to the number of Types defined.
Acquaint automatically creates the following Contact Types:
- Applicant
- Bank
- Contractor
- Estate Agent
- Guarantor
- Landlord
- Local Authority
- Managing Agent
- Mortgage Provider
- Publication
- Solicitor
- Tenant
- User
- Utility Supplier
- Vendor
Add new custom Contact Types
- Click File - >Configuration -> Contacts - >Types.
- Click New.
When creating a Type there are a number of settings that govern the behaviour of Contacts associated with it:
-
Description - specify a description for the source.
- Type - a drop-down list of predefined values. Acquaint uses this to determine which fields and tabs should displayed on the Contact screen e.g. an Applicant is given fields to enter their Property Requirements whereas a User isn't
- Exclude from Matches - exclude Contacts from Match and Market
-
Home Page Reminder - if this option is ticked a button will be displayed on the Home Page with a total of the number of Contacts of that Type
-
Mailing List Reminder - the mailing list settings are used to help maintain your Mailing Lists . If this option is selected a reminder will appear on the mailing list.
- Mailing List Renewal Period - this specifies the period of time (in days) that Contacts should be called within to check they still wish to be mailed. A Home page reminder will show which Contacts required their mailing list to be renewed.
- Auto Status Change Period - specifies the period of time (in days) after which a contact's status will automatically change.
- Auto Status Change - specify the status the Contact will automatically change to once the Auto status Change Period has been reached.
- Default Property Category - when the Type of a Contact is changed the Category field in the Property Requirements will be changed to match the default Category stored against the Contact type. This only applies when adding new Contacts.
- Bulk Anonymise - whether this type can be selected in the bulk anonymise function
- Text Colour - choose a custom text colour
- Background Colour - choose a custom background colour
- Inactive -select this checkbox if the Type is no longer to be used. This will stop it appearing in the lookup table.
Automatic Contact Types Changes
Various Contact Types can be set to be automatically changed on certain actions for example when a property is completed or offer accepted / rejected or a property becomes availible. These settings should changed with advice from Bright Logic.
