The Board Management screen enables you to manage all aspects of property board management including changing statuses quickly and ordering boards. For clients using Agency Express to manage Estate Agency boards, Acquaint also provides the option to integrate with their SignMaster software. For clients using CountryWide Signs Acquaint provides an option to integrate with their board management system.
Access the Property Board List screen via the Boards button on the Main Ribbon.
The Property Board List screen displays the following information.
The screen can be filtered on Category, Branch and Board.
The following options are available from the Menu button alternatively right clicking will display the Menu options.
Your Board Supplier should be added as Contact with a Type of Contractor. You may wish to create a special Type of Contractor - Boards to differentiate from other contractors but this is not essential for using the Board Management functionality. When you use the Board Management screen for the first time Acquaint will prompt you to specify which Contact to use as your board supplier.
Similarly, if you have a member of staff who deals with the boards you can set them up as a board supplier and they will get all the emails.
From the Boards screen you can change the board by right clicking on the property in the list and selecting Edit. If the board changes a prompt will appear asking if the board supplier is to be emailed a Property Board Request. If a board company has not previously been set in Acquaint a prompt will be displayed to select the board company.
Changes to a Property Board are written to Property’s Journal.
For clients using the integration with Agency Express
When erecting new boards a Number of Boards field will be displayed.
When a Board Request has successfully been sent to Agency Express the details of the request will be stored as a Note against the Property with a type of 'Agency Express.' This provides an audit trail of what was submitted when and can be used in reports.
From the Boards screen you can change the board by double clicking on the Property in the list and changing the board against the Board Erected field.
Make the necessary changes and click Save.
Additionally right-clicking on a Property on the Board List gives an Agency Express menu with the options of Erect Board, Re-Erect Board and Service Board. The Re-Erect Board and Service Board options will only be enabled if the Property has previously sent to Agency Express.
A tickbox to send to Agency Express is available from the Property Board List screen as you may just want to change the Board and not send the request to Agency Express.
Countrywide Signs Integration
For clients using the integration with Countrywide Signs
A new board can be added from the Property Board List screen by simply right-clicking and choose New.
From the Boards screen you can change the board by right clicking on the Property in the list and selecting Countrywide Signs and Add Job. Follow the steps above.
Changes to a Property Board are written to Property’s Journal.
