Enter the relevant Property Details

• Bathrooms
• Reception Rooms
• Floor Level
• Floor Area (sq) - the floor area can be entered or click the Calculate button on rooms for Acquaint to calculate the floor area based on the measurements added.
• Land Area (acres)
• Build (year)
• Age Category - select from either Modern, New or Period
• Board Erected - No, Yes, Sold/Let or Not Allowed
• Applicant Matching - defaults to All. When changed to 'None' will affects matching Applicants to Properties but not the other way round, i.e. you can load a Property then click Match to see who would be interested. This means you mark the Property as no marketing but it will still appear on the Property List.
• Web Upload- The Web Upload drop-down box dictates when and where a Property is uploaded to on the Web. This is defaulted to Based On Status, indicating that the property will be uploaded to your own website and property portals if the Status of the Property is Available or Under Offer.
• Featured Property - indicates whether the property is a featured property
• Exclusive Property - indicates whether the property is an exclusive property
• Features - select the check boxes for the features which are applicable. Use the drop-down list to indicate the Central Heating type. For Park Spaces enter a value (up to 1000).

Parking Spaces is available as a Merge Field for Letters, Emails, SMS Texts and Brochures and as a Report Filter.

Contract Details

Here you can enter the relevant Contract term details associated with the property.

• Contract Expiry Date
• Selling Method - Private Treaty, Auction or Tender
• Valuation Price

• Management Type - Fully Managed, Rent Collection or Let OnlyThe information you enter on this screen will be the default option when setting up future tenancies and/or extending existing tenancies. This information can be later changed when setting up each individual Tenancy. 

• Let only / Intro Fees - Percentage or Fixed FeeThis is where you set the default letting fee for this landlord. This can be changed at a later date.
• Commission FeesThis is where you set the default management fee/sales fees for this landlord/vendor. Important: If the information in this box is incorrect your sales commission invoice will need to be corrected manually.
• Float to RetainThis will ensure that the amount is retained every month. The landlord will always be paid in full minus the retained float This amount will appear on the Account Statements.
• Commission Split %In the case of a joint agency. This is where the commission split is entered.

Occupier

Use this field to add an Occupier against tenanted Properties that you are selling. Occupiers will be included in the Send Confirmations screen, if ticked they will receive the Notification Templates. Occupiers will default to being ticked (if they have an email or mobile number) however this behaviour switched off in System Configuration ->Appointments ->Send Appointment Notifications To Occupier.

Enter the Property Yield details

• Mortgage Amount
• Sold Price

Enter the Rental details

• Rental Terms - by default this will be set to Not Specified but can be to set to Short or long.
• Minimum Term - the default Minimum Tenancy term (months) is specified in File -> Configuration -> Site/Branch -> Lettings -> Default Minimum Tenancy. This information is included in the portal feed.
