Home Page Information / Reminders

Most of the reminders that appear are automatically generated when you start entering data into Acquaint. For example, if a rental Property is entered as having Gas connected; a reminder will be generated regarding obtaining a Gas Safety Certificate.

The Reminders are dynamic and can be actioned by clicking on them.

The Reminders are grouped as follows:

Contacts

• Mail List Renewals Due - provides a count of Properties with a Status of Under Offer that have a Sale Board that requires changing to Sold/Let.
• Pending Signable Documents - Signable documents that are still awaiting a signature.
• Type- a count of Contacts is displayed where for Contact Types with Home Page reminder selected.
• Registration Task Outstanding - these are Applicant that have registered through your website. The Tasks can be cleared by selecting the Completed Date check box.

Appointments

• Follow Up Required - Provides a Count of Appointments that require a follow up by Appointment Type . Only Appointment Types where the Home Page Reminder has been selected will be displayed. Clicking on an appointment item will take you to the Appointment List.

• Property Feedback to send - provides a count feedback to be sent by sales and lettings.
• Keys Overdue - displays the keys on the Key List screen that have exceeded their expected return.
• Unconfirmed Website Appointments - This is all Appointments of Type “Viewing from Website” or “Valuation from Website”.
• Property Feedback Review Required - this is feedback received via the Automated Property Feedback and gives you the opportunity to review it. Change any text by typing directly into the Notes field. Clear the Task by clicking Accept All or Reject All.

Sales

• Applicants with Required Moving Dates - provides the number of Contacts who have requested a Required Moving Date as set within their Property Requirements
• Properties/Applicants Without Marketing - provides a count of Properties/Applicants where details have not been sent

• Properties Instructed - provides a count of Properties with a status of instructed
• Properties Under Offer - provides a count of Properties under offer
• Property Offers Pending - provides a count of Pending Offers
• Property Offers Pending - provides a count of Property awaiting Proof.
• Property Boards To Change - provides a count of Properties with a that require the Board changing
• Property Boards To Remove- provides a count of Properties with a Status of Completed or Not Available that have a Sale Board that require removing
• Property EPC's Required - provides a count of Properties where an EPC is required
• Property EPC's Expiring - provides a count of Properties where an EPC is expiring
• Properties With Estimated Completion Date Passed - provides a count of Properties which have passed the estimated completed in the Progression screen
• Property Tenure Required - provides a count where the Property Tenure is set to TBC
• Vendor Contracts about to Expire - provides a count of Contacts where the Contract Expiry Date for their Property is due to expire.

Lettings

• Pre-Tenancies Created - provides a count of Pre-Tenancies that have been created
• Tenancies About to Start - provides a count of Tenancies due to start
• Tenancies About to End - provides a count of Current Tenancies due to End
• References Pending - provides a count of References that require processing
• Properties/Applicants without Marketing - provides the number of Contacts/Properties that have not been sent details of any Properties
• Applicants with Required Moving Dates - provides the number of Contacts who have requested a Required Moving Date as set within their Property Requirements
• Deposit Scheme ID Required - provides a count of Contacts where the Deposit Scheme ID has not be specified.
• Property EPCs Required - provides a count of Properties where the status is either Instructed, Available or Under Offer and an EPC is required.
• Let Property EPC's Expiring - provides a count of Properties where an EPC is expiring and the Property is Let/Completed.
• Property EPC's Low Rating - provides a count of Properties where EPCs are rated F or G or lower
• Tenancies Tenants Renewing - provides a count of Contacts where Tenancies are set to a Status of Tenant Renewing.
• Let Properties with Expired/No Tenancy - provides a count of Properties where the Category is set as To Let but there is no Tenancy or the Tenancy is expired.
• Tenancies Notice Serviced - provides a count of Tenancies where the Tenancy Status is set to Notice Served.
• Tenancies To Checkout - provides a count of Expired Tenancies that haven't been Checked Out.
• Tenancies to Check In - provides a count of Current Tenancies that haven't been Checked In.
• Property Offers Pending - provides a count of Pending Offers
• Property EPCs Low Rating - provides a count of low EPC ratings
• Property Boards To Change - provides a count of Properties with a that require the Board changing
• Property Boards To Remove- provides a count of Properties with a Status of Completed or Not Available that have a To Let Board that require removing

Certificates

• Certificate Expiring - provides a count by Certificate Type of Certificates due to expire based on the Expiry Reminder period in

• Certificate Required - provides a count by Certificate Type of Certificates required for Contacts or Properties

 

Financial

• Payments Overdue - provides a count of Payments Overdue by Contacts

• Tenancy Deposits Due - provides a count of Tenancy Deposits Due

• Deposit Account Transfers - provides a count of Deposit Account Transfers
• Custodial Scheme Deposit Transfers - provides a count of Deposit Account Transfers
• Fees To Transfer - provides a count of Fees that require Transferring
• Landlords To Pay - provides a count of Landlords whom are due to be paid
• Landlords in Debt - provides a count of Landlords whom owe money
• Invoices Require Sending - provides a count of Invoices that have been created but not sent
• Overseas Tax To Transfer - provides a count of Contacts where overseas tax has been paid which can be transferred to your account
• Sales Commission To Invoice - provides a count of properties with a status of Completed or Exchanged which can be invoiced
• Contractors to Pay - provides a count of Contractors whose Account is currently in Credit i.e. they require Payment.
• Outstanding Custodial Scheme Deposit Requests - provides a count of requests pending with the Custodial Scheme.
• The Consolidated Debts Reminder - provides a Count of Landlords with Consolidated Payments selected (in More Details) that owe money (a negative balance) .
• Outstanding Custodial Scheme Deposit Requests - provides a count of requests pending with the Custodial Scheme.
• Consolidated Payments - provides a count of Landlords that need paying.
• Rent Guarantee Payments - provides a count of Rent Guarantee payments that require processing.

Property Management

• Work Orders Outstanding - provides a count of Work Orders with a status of Outstanding

• Work Orders To Be Billed - provides a count of Work Orders with a status of Completed
• Work Orders To Be Estimates - provides a count of Work Orders with a status of Estimates
• Rent Reviews Due - provides a count of Tenancies where the Next Rent Review is Due
• Property Inspections Due - provides a count of Properties where a Property Inspection is due
• Maintenance Requests -

  provides a count of Maintenance Requests that been requested and require processing

The information displayed in a group on the All Reminders tab can be toggled to hide or show by clicking on the arrows on the right hand side of the group's heading.

A House Keeping function is available if your reminders have not been actioned or maintained. If some of your reminders have got out of hand we may be able to assist you in initially clearing some of them down. Contact our Support team for advice.
